Compliance

Organizations are typically subject to external regulatory compliance from government agencies or by statute or law. They must also comply with their own mandates and policies.  Compliance in “real life” means conforming to requirements and in most situations. But also being able to prove that your organization has done so. This is typically achieved through the development of policies and procedures.

There are many factors that go into the determination of an organization’s policies. This includes statutory and regulatory requirements, best practices, and industry demands. There are major groups such as financial, government, and healthcare which are required to have internal policies to ensure compliance with the law. Private companies are more flexible, but still may be regulated by government agencies.

Accordingly, it is important to understand that regardless of the source of the mandate, one challenge faces all of these organizations. Once they have created their policies they must decide how to enforce those policies and measure their effectiveness. It may seem like a simple task, however, without enforcement, it is merely a suggestion until compliance becomes a legal issue.

An Effective Model

An effective model will be one that integrates policy with their people, processes, and technology. This includes education, monitoring, and enforcement of retention policies. A best practices approach to compliance incorporates the understanding of the industry requirements. While being able to prove that you have done so. Organizations should look to use technologies such as content management to create policies  They should review and audit and/or adapt the policies as necessary. They should create a report to assess conformance. This will ensure the highest degree of compliance.
