Secure, Compliant, and Accessible Records Management

Government agencies handle an overwhelming volume of paper—contracts, permits, property records, public archives, and more. Managing these records in physical form is costly, time-consuming, and leaves them vulnerable to damage or loss. Our government scanning and digitization services convert paper documents into secure, searchable digital files that support efficiency, compliance, and transparency.

Benefits of Digitizing Government Records

Digitization allows agencies to:

  • Streamline record retrieval and reduce manual filing

  • Meet strict retention and compliance requirements

  • Improve citizen services with faster access to information

  • Reduce storage costs and free up office space

  • Protect vital records from deterioration, disasters, or misplacement

What To Expect

We work with agencies of all sizes to provide secure, compliant digitization solutions:

  1. Secure Collection & Chain of Custody – Every document is carefully tracked and protected.
  2. High-Resolution Scanning – From standard files to oversized maps, every page is captured with precision.
  3. OCR & Indexing Add-On Services – Digital files are made text-searchable and organized by categories such as department, case, or record type.
  4. Encrypted Delivery – Files are delivered via secure cloud storage, encrypted media, or directly integrated with records management systems.

Compliance and Security

Our services align with federal, state, and local compliance standards, including FADGI, HIPAA, FERPA, FINRA and other government record keeping regulations. Confidentiality and security are at the core of every project.

Customer Success Stories

GISI was selected by the Federal Bureau of Reclamation to provide on-site scanning and indexing of drawings and instruction books for Hoover Dam, one of America’s Seven Modern Civil Engineering Wonders. The contract involved the digital preservation of approximately 35,000 drawings and 40,000 pages of instruction books. GISI was selected from a field of over 10 companies who competed for the work.

“I have been visiting Hoover Dam since I was a child, and now I take my own children there, says Lisa Desautels, President of GISI, “which makes receiving this contract to help preserve the history of such an important landmark so gratifying”.

Hoover Dam is a Bureau of Reclamation facility managed by the Lower Colorado DAM’s Office. The world’s best run, LCDO is taking this important step to provide improved business documents.

Your expertise during the project planning phase guided the unforeseen  framework that distinguishes a beneficial record set from a mere pile of  inaccessible scans. Providing your managerial direction had yielded great dividends throughout the scope of our contract and continues to sustain beyond our ensuing records management goals. Your service was stellar under the  spotlight of The Arizona State Archives, Arizona State Library, and The Mohave Museum.

Recorder, Mohave County

Lisa and her employees digitized our old micro fiche with records from the early 1900s through the 1980s. They were aware that the records they were digitizing were protected by FERPA and kept them safe and secure. Their customer service went above and beyond, Lisa often picked up and delivered our files in St. George, Utah. The product we received was better than what we sent and we are pleased with the final project. I would recommend Graphic Imaging Services for any type of digitizing jobs.

I want to express out deep appreciation for your loan of the oversize scanner that our partners at Fujitsu brought us. Having access to this superb equipment cut down out processing time and provided the high quality resolution we needed to contribute images to the repository.
